If you didn’t know any better, you’d think submitting a resume to the HR department of the company you are applying means they will evaluate it by reading it. Think again. Chances are, if they have an HR department, they have an applicant tracking system (ATS) that does the reading for them.

If you haven’t heard of ATS’s yet, don’t worry, you aren’t alone. According to TopResume.com, more than half of candidates are eliminated by applicant tracking systems. This would indicate half of all applicants do not optimize their resume to the job requirements because they simply didn’t know it would be evaluated by an ATS.

The process of optimizing a resume can be tedious. It typically involves a line-by-line comparison of the keywords, skills and phrases between the resume and job description. Then, the candidate must honestly assess their own qualifications and experiences and determine which keywords, skills and phrases they can accurately list.

In the spring of 1989 four men applied for US patent US5197004A. The title of the patent was “Method and apparatus for automatic categorization of applicants from resumes.” Heading the group was founder and Chief Technology Officer of Resumix, Inc., David Sobotka.

In the application for patent, Sobotka outlined the reasoning behind the invention. He recognized the extensive knowledge required by a professional recruiter to appropriately categorize an applicant to understand if they can perform a job. After listing the many years required to gain this experience, he summarized a recruiter’s job is to “identify which skills are accurate descriptions of the applicant’s talent and which are just ‘fluff’ to inflate the applicant’s resume.”

In the job market, your resume has always competed against everyone else’s. The usual process goes something like this. A company posts a job online. Depending on the company and the job, hundreds apply, maybe thousands. The advertisement lists an email or an online link. If an email, you simply email your resume with or without a separate cover letter. If online, you upload your resume then confirm the content through guided, progressive screens. You submit. You wait. And wait.

Often you don’t wait long. You receive a response via email thanking you for your submission. Very politely they will say no thank you. Sometimes it takes longer, weeks or even a month or two. But same result. Occasionally, you are the lucky one and get a call.

What you may not know is, behind the curtain, data science has revolutionized this process. And depending on the outcomes mentioned above, this is either good news or bad news. If you received the call, it is good news, data science has worked for you. If you received the polite email, it did not.

For the purpose of this article, an ATS system is a computer software application that employers use to score your resume against job requirements.

Once you are aware of the existence of ATS’s and how they effect your ability to get the job you want, it’s just a matter of adjusting your resume accordingly. The process of tailoring your resume to highlight the matches between it and the job requirements is known as creating a targeted resume. Creating a targeted resume is a hack in itself, but I am not counting this as one of the hacks here today.
